These Terms and Conditions govern all bookings, tours, safaris, holidays, transportation, accommodation, excursions, and other travel services arranged by Ladina Travel Safaris (“Ladina Travel Safaris”, “we”, “us”, or “our”) for the customer (“client”, “traveler”, “you”, or “your”).
By making a booking or paying a deposit, you confirm that you have read, understood, and accepted these Terms and Conditions.
1. BOOKING AND CONFIRMATION
1.1 A booking request is considered provisional until confirmed in writing by Ladina Travel Safaris.
1.2 A booking becomes confirmed upon receipt of the required deposit or full payment, as specified in the quotation or invoice.
1.3 The person making the booking confirms that they have authority to make the booking on behalf of all travelers included in the reservation and accepts these Terms and Conditions on their behalf.
1.4 Prices and availability are subject to confirmation at the time of booking. A quotation does not guarantee availability until the booking has been confirmed.
2. PAYMENT TERMS
2.1 The payment schedule and deposit required will be stated in the quotation or invoice provided to the client.
2.2 The balance must be paid by the deadline specified by Ladina Travel Safaris.
2.3 Failure to make payment by the stated deadline may result in cancellation of the booking and applicable cancellation charges.
2.4 Any bank charges, payment-processing fees, currency conversion charges, or other transaction costs applicable to the client's payment shall be communicated where applicable.
2.5 Prices are normally quoted in Kenyan Shillings (KES), United States Dollars (USD), or another currency agreed with the client.
3. PRICES AND INCLUSIONS
3.1 The services included in each tour will be clearly stated in the quotation or itinerary.
3.2 Depending on the package, inclusions may include accommodation, meals, transportation, airport transfers, game drives, park or conservancy fees, activities, and the services of a driver-guide.
3.3 Unless specifically stated as included, clients are responsible for personal expenses, alcoholic and other beverages, tips, laundry, travel insurance, visas, international flights, personal shopping, medical expenses, and other incidental costs.
3.4 Government taxes, park fees, conservation fees, fuel costs, accommodation rates, airline charges, and other third-party charges may change. Where such changes occur after a quotation has been issued, Ladina Travel Safaris will communicate any applicable adjustment to the client.
4. CANCELLATION BY THE CLIENT
4.1 All cancellations must be submitted to Ladina Travel Safaris in writing.
4.2 Cancellation charges will depend on the date of cancellation, the services booked, and the cancellation terms imposed by hotels, lodges, airlines, parks, conservancies, transport providers, or other suppliers.
4.3 Where a supplier has imposed a non-refundable charge, that amount may be deducted from any refund due to the client, subject to applicable law and the terms of the booking.
4.4 With a notification between 31-60 Days,the client will lose 50% of the deposit paid plus eventual charges by the providers of the services.
4.5 With notification of more than 60 days before the start date of the tour,the client will lose 70% of the deposit.
4.6 Any refund due will be processed within a reasonable period after Ladina Travel Safaris has received the relevant funds from suppliers and completed the necessary reconciliation.
4.7 With notification of 30 days before the departure date of the tour, the client will lose 100% of the deposit paid plus the eventual additional charges of the providers of the services. If the deposit is more than the indicated percentage, the said charges will be deducted from the total amount deposited. Ladina Travel Safaris will not do any reimbursement or refund until it receives the documents of the tour in its entirety. In cases where hotel, lodge, or camp charges for the entire stay, 100% of the total will be lost (or what the provider of the services may charge).
5. CANCELLATION BY LADINA TRAVEL SAFARIS
5.1 Ladina Travel Safaris reserves the right to cancel or modify a tour where circumstances make it necessary or where the minimum number of participants required for a group tour is not reached.
5.2 Where Ladina Travel Safaris cancels a tour for reasons within its control, the company will communicate the available.
