Map2Africa – Terms & Conditions
1. Introduction
Map2Africa (“we”, “us”, “our”) is a travel planning and facilitation agency specialising in curated travel experiences across Africa and the Indian Ocean. By requesting a quotation, confirming a booking, or making a payment, you agree to the terms and conditions set out below.
2. Our Role
Map2Africa acts as an intermediary and travel coordinator, arranging services on behalf of clients with third-party suppliers including (but not limited to) accommodation providers, airlines, transport operators, guides, and activity hosts.
While we work exclusively with trusted partners, all travel services are provided by independent third parties and are subject to their individual terms and operating conditions.
3. Quotations & Pricing
All quotations are:
Based on availability at the time of enquiry
Subject to change until confirmed by payment
Dependent on exchange rates, supplier pricing, government taxes, park fees, and levies
Prices are only guaranteed once a booking has been confirmed and payment has been received.
4. Booking Confirmation
A booking is only confirmed once:
The required deposit or payment has been received, and
Written confirmation has been issued by Map2Africa
We reserve the right to withdraw or amend any quotation prior to confirmation.
5. Payments
The following payment structure applies to all bookings unless otherwise stated in writing:
A 20% deposit is required to confirm and secure your booking
The remaining balance is due 60 days prior to arrival
All payments must be received by the specified due dates
Failure to make payments on time may result in cancellation by suppliers, with applicable penalties, for which Map2Africa cannot be held responsible.
6. Client Cancellations
Should a booking be cancelled by the client, the following cancellation terms apply:
More than 60 days prior to arrival:
The 20% deposit is retained as a cancellation penalty
Between 30 and 60 days prior to arrival:
A 50% cancellation penalty applies
30 days or less prior to arrival:
No refund will be issued
All cancellation requests must be submitted in writing to be valid.
Cancellation penalties are calculated based on the total booking value, not the amount paid to date.
7. Changes to Bookings
Any request to amend a confirmed booking is subject to:
Supplier approval
Availability
Additional costs or change fees
All amendment requests must be submitted in writing. Map2Africa cannot guarantee that changes can be accommodated once a booking has been confirmed.
8. Supplier Changes or Cancellations
In the event that a supplier cancels or materially alters a service, Map2Africa will:
Use reasonable efforts to provide suitable alternatives, or
Pass on any refunds received from suppliers
Map2Africa is not responsible for costs that cannot be recovered from third-party suppliers.
9. Travel Insurance
Comprehensive travel insurance is strongly recommended for all clients and should include cover for:
Trip cancellation and curtailment
Medical emergencies
Delays, loss, or damage to personal belongings
Failure to obtain adequate insurance is done at the client’s own risk.
10. Travel Documentation & Health Requirements
Clients are responsible for ensuring they:
Hold a valid passport and any required visas
Comply with health and vaccination requirements
Meet airline and destination entry regulations
Map2Africa cannot be held liable for denied boarding or entry due to incorrect or incomplete documentation.
11. Liability & Responsibility
Map2Africa is not liable for:
Acts, errors, or omissions of third-party suppliers
Delays, changes, cancellations, or disruptions beyond our control
Loss, injury, illness, damage, or inconvenience arising during travel
Where an issue arises directly due to our actions, our liability is limited to the fees paid to Map2Africa for the affected service.
12. Force Majeure
Map2Africa shall not be liable for any failure or delay in performance due to events beyond reasonable control, including but not limited to natural disasters, weather conditions, pandemics, strikes, political unrest, or government actions.
13. Acceptance of Risk
Travel may involve activities in remote or natural environments. By confirming a booking, clients acknowledge and accept the inherent risks associated with travel, excursions, and adventure activities.
14. Use of Content
All itineraries, website content, branding, and materials remain the intellectual property of Map2Africa and may not be reproduced without prior written consent.
15. Governing Law
These terms and conditions are governed by the laws of the Republic of South Africa, and any disputes shall be subject to the jurisdiction of South African courts.

Map2Africa is committed to delivering exceptional travel experiences. While unforeseen changes can occur, we always act with transparency, care, and good faith to ensure the best possible outcome for our clients.
