# AFRICA’S WILD WONDERS
## Terms and Conditions
**Effective date:** Oct 2026
These Terms and Conditions govern bookings made with Africa’s Wild Wonders (“AWW”, “we”, “us” or “our”). By confirming a booking and making a payment, the client (“you” or “the client”) agrees to the terms outlined below.
These terms apply to tailor-made safaris, wildlife and migration safaris, Kilimanjaro trekking, beach holidays, cultural experiences, and other travel arrangements organised by Africa’s Wild Wonders.
### 1. Bookings and Confirmation
All enquiries and itineraries are subject to availability and confirmation.
A quotation is based on the travel dates, number of travellers, accommodation, services, and preferences provided at the time of enquiry. Prices and availability may change before a booking is confirmed.
A booking is confirmed once the required deposit has been received, the relevant arrangements have been confirmed by AWW, and written confirmation has been provided to the client.
Any changes to the itinerary, accommodation, travel dates, or number of travellers may affect the total cost.
### 2. Prices and Payments
All prices will be stated in the currency specified in the quotation or invoice.
Unless otherwise stated in writing, the following payment schedule applies:
1. **Deposit:** A 25% deposit of the total booking cost is required to confirm the booking.
2. **Final payment:** The remaining balance is due at least six weeks before the scheduled arrival date.
3. **Late bookings:** For bookings made within six weeks of arrival, full payment may be required at the time of confirmation.
Bookings are subject to the payment deadlines stated on the invoice. Failure to make payments on time may result in cancellation of arrangements, subject to the applicable cancellation terms.
Bank charges, transfer fees, and other payment processing costs must be covered by the client where applicable.
### 3. Cancellations by the Client
All cancellation requests must be submitted in writing by the person who made the booking or an authorised representative. The cancellation date will be the date AWW receives written notice.
The following cancellation schedule applies to the total booking cost:
| Notice before arrival | Cancellation charge |
| --------------------------------------- | ------------------: |
| 45 days or more | 25% |
| 30 to 44 days | 50% |
| 15 to 29 days | 75% |
| 14 days or fewer | 100% |
| No show or failure to commence the trip | 100% |
The cancellation charge represents the applicable cancellation amount for the booking, not an additional charge on top of the total trip price.
Certain airlines, accommodation providers, trekking operators, and other suppliers may impose stricter cancellation conditions or non-refundable charges. Where these apply, AWW will communicate the relevant conditions and any additional contractual obligations before confirmation, to the extent practicable.
If payments already made exceed the applicable cancellation charge and any additional agreed, documented, non-recoverable costs permitted under the booking terms, the refundable balance will be returned to the client. Any refund will be processed after the relevant supplier refunds and deductions have been established.
Where possible, AWW will endeavour to assist with postponing the trip or arranging alternative dates. Postponements are subject to availability, supplier approval, price differences, and any applicable amendment charges. A postponement is not guaranteed and does not automatically remove cancellation charges.
### 4. Changes and Amendments
Requests to change travel dates, accommodation, activities, destinations, or the number of travellers must be submitted in writing.
AWW will make reasonable efforts to accommodate requested changes, subject to availability and supplier approval.
Additional costs resulting from changes, including revised accommodation rates, transport charges, permits, flights, or supplier penalties, will be payable by the client.
Changes that cannot be accommodated may be treated as a cancellation of the affected arrangements and may be subject to the applicable cancellation terms.
### 5. Changes or Cancellations by Africa’s Wild Wonders
AWW reserves the right to make reasonable changes to an itinerary where necessary due to weather, road conditions, wildlife movements, safety concerns, supplier availability, operational requirements, or circumstances beyond our reasonable control.
Where a material change is required, AWW will inform the client as soon as reasonably practicable and seek a suitable alternative where possible.
If AWW must cancel a booking before departure, we will explain the circumstances and discuss available alternatives or applicable refunds in accordance with the booking agreement and relevant law.
Nothing in these terms excludes any refund or other remedy that the client is entitled to under applicable law.
### 6. Accommodation and Suppliers
Accommodation is subject to availability at the time of booking. AWW will confirm the selected properties or agreed alternatives in writing.
If a confirmed property becomes unavailable, AWW will endeavour to arrange comparable alternative accommodation. Any material difference in price or standard will be communicated to the client.
Some services are provided by independent suppliers, including lodges, hotels, airlines, transport operators, trekking teams, and activity providers. Their own reasonable booking conditions, safety requirements, and operating rules may also apply.
### 7. Safaris and Wildlife Viewing
Wildlife sightings and animal movements cannot be guaranteed. Animals roam freely in their natural habitats, and sightings depend on seasonal patterns, weather, environmental conditions, and chance.
Game drives, routes, and activity schedules may be adjusted by the guide for safety, conservation, road conditions, or operational reasons.
Clients must follow the instructions of their safari guide, remain in designated areas, and respect wildlife and park regulations.
AWW promotes responsible wildlife viewing and does not guarantee sightings of specific animals or particular wildlife events, including Great Migration river crossings, calving activity, or predator hunts.
### 8. Kilimanjaro Trekking and Other Physical Activities
Clients booking Mount Kilimanjaro treks, walking safaris, mountain hikes, or other physically demanding activities must provide accurate information about relevant fitness limitations and disclose any medical or mobility concerns that could affect their participation.
Clients are responsible for ensuring that they are reasonably prepared for the physical demands of their chosen activity and must follow the instructions of their guides and safety personnel.
Mountain trekking involves inherent risks, including altitude sickness, changing weather, difficult terrain, injury, and the possibility of not reaching the summit.
Summit success cannot be guaranteed. Guides may recommend descent, changes to the itinerary, or withdrawal from an activity when safety requires it.
Any additional costs resulting from evacuation, medical assistance, extra accommodation, or itinerary changes will be handled in accordance with the applicable supplier conditions, insurance arrangements, and relevant law.
### 9. Beach Holidays, Flights and Transfers
Flight schedules, ferry services, transfers, and other transport arrangements may change due to operational, weather, safety, or regulatory reasons.
Clients are responsible for arriving at the designated departure points on time and providing accurate flight and travel details.
Unless expressly included in the quotation, international flights, domestic flights, ferry tickets, airport taxes, private transfers, and additional transport costs are excluded from the package price.
For travel to Zanzibar, clients must comply with the entry requirements and any mandatory insurance, infrastructure tax, or other applicable charges in force at the time of travel. Such charges will be identified in the quotation where known or are payable directly by the client where applicable.
### 10. Passports, Visas and Travel Documents
Clients are responsible for ensuring that their passports, visas, permits, and other required travel documents are valid and obtained before departure.
Entry requirements vary according to nationality, destination, and travel circumstances. Clients should verify the latest requirements with the relevant authorities before travelling.
AWW can provide general guidance but cannot guarantee the approval of visas or entry into any country.
Any costs, losses, or missed services arising from incomplete or invalid travel documents are the responsibility of the client, subject to applicable law.
### 11. Health, Safety and Travel Insurance
Clients are strongly advised to obtain comprehensive travel insurance before departure.
Insurance should cover, as appropriate, medical expenses, emergency evacuation, trekking and adventure activities, trip cancellation, interruption, baggage, and personal liability.
Where an activity or destination requires specific insurance, clients must obtain the required cover before participating.
Any included emergency evacuation or medical assistance service, such as AMREF Flying Doctors, applies only where expressly stated in the quotation and remains subject to the provider’s terms, coverage limits, and operating conditions. Such services do not replace comprehensive travel insurance.
Clients must inform AWW of relevant medical, dietary, mobility, or accessibility requirements before confirmation so that reasonable arrangements can be considered.
### 12. Inclusions and Exclusions
The final quotation and confirmed itinerary specify the services included in the booking.
Unless expressly stated as included, the following are generally excluded:
- International flights and any unlisted domestic flights.
- Visas, passports, and travel documentation fees.
- Travel insurance and personal medical expenses.
- Tips and gratuities.
- Personal purchases, laundry, telephone charges, and other incidental expenses.
- Optional excursions and activities.
- Additional accommodation, meals, transfers, or transport not specified in the itinerary.
Clients should review the quotation carefully and request clarification before confirming the booking.
### 13. Force Majeure and Circumstances Beyond Our Control
AWW shall not be considered in breach of its obligations to the extent that performance is prevented or materially affected by circumstances beyond its reasonable control.
Such circumstances may include natural disasters, extreme weather, floods, wildfires, epidemics, pandemics, war, terrorism, civil unrest, government restrictions, border closures, strikes, or major transport disruptions.
Where such circumstances arise, AWW will make reasonable efforts to communicate with affected clients and explore practical alternatives, including rescheduling where possible.
Refunds, credits, and additional costs will be assessed in light of the services already provided, supplier refund policies, the terms of the booking, and applicable law. This clause does not remove any mandatory rights the client may have.
### 14. Liability
AWW will exercise reasonable care and skill in arranging and delivering the services it has agreed to provide.
To the extent permitted by applicable law, AWW is not responsible for losses arising from circumstances outside its reasonable control, the independent acts or omissions of third-party suppliers, or the client's failure to follow reasonable safety instructions.
Nothing in these terms excludes or limits liability for fraud, wilful misconduct, death or personal injury where exclusion is prohibited by law, or any other liability that cannot lawfully be excluded or limited.
Clients are responsible for their personal belongings and should take reasonable precautions to protect valuables throughout their journey.
### 15. Client Responsibilities
Clients agree to:
- Provide accurate booking, passport, health, and travel information.
- Make payments by the agreed deadlines.
- Follow the instructions of guides, drivers, accommodation staff, and activity providers.
- Respect local laws, cultures, communities, wildlife, and conservation regulations.
- Behave responsibly and avoid conduct that endangers yourself or others.
- Inform AWW promptly of any concerns or circumstances that may affect their travel arrangements.
AWW may take reasonable action, including arranging withdrawal from an activity, where a client's conduct creates a serious safety risk or substantially disrupts the experience of others. Any resulting costs or refunds will be handled in accordance with the applicable booking terms and law.
### 16. Complaints and Dispute Resolution
Clients should raise any concern with their guide, representative, or AWW as soon as possible so that we have a reasonable opportunity to address the issue during the trip.
If the matter remains unresolved, a written complaint should be submitted to AWW with relevant details and supporting documentation within a reasonable period after the trip.
AWW will review the complaint fairly and respond within a reasonable timeframe.
The parties will endeavour to resolve disputes through good faith discussions before pursuing other available remedies.
### 17. Personal Information and Privacy
AWW collects and uses personal information where necessary to manage bookings, arrange travel services, communicate with clients, and meet applicable legal obligations.
Information may be shared with relevant suppliers and service providers where necessary to deliver the booked services.
AWW will handle personal information in accordance with applicable data protection laws and its privacy policy.
### 18. Governing Law
These Terms and Conditions shall be governed by the laws of the United Republic of Tanzania, subject to any mandatory consumer protection rules or other legal requirements that apply to the client or booking.
Any dispute shall be handled by a court or other competent body with jurisdiction under the applicable law.
### 19. Acceptance of Terms
By confirming a booking and making the required payment, the client acknowledges that they have read and accepted these Terms and Conditions, together with the specific inclusions, exclusions, payment schedule, itinerary, and any additional conditions provided in writing.
Where a specific written booking agreement conflicts with these general terms, the parties should clarify the applicable provision in writing before confirmation.
