Terms & Conditions for Booking Tours in Tanzania

These Terms & Conditions govern all travel arrangements made with Kilimanjaro Winners and Safaris, a local, family-run adventure travel operator based in Tanzania. By confirming a booking, you are agreeing to the terms outlined below on behalf of yourself and any other individuals included in your reservation. Please read them carefully, as they outline your rights and responsibilities.

1. Deposits & Payment Schedule

To confirm your tour with Kilimanjaro Winners and Safaris, a 30% deposit is required at the time of booking. This deposit secures your reservation and allows us to begin operational planning.

The remaining balance must be paid at least 6 weeks before your scheduled departure.

For bookings made within 6 weeks of departure, full payment is required at the time of booking.

All payments must be made free of bank charges or transaction fees. The traveler is responsible for covering any such costs.

2. Confirming Your Booking

Your booking with Kilimanjaro Winners and Safaris becomes official once the deposit has been received and written confirmation has been issued.

The person making the booking must be 18 years or older and provide complete and accurate details for all travelers.

If booking on behalf of others, you confirm that:

You are authorized to act on their behalf.

All information provided is accurate.

You have their consent to share personal details with Kilimanjaro Winners and Safaris.

3. Cancellation Policy

If you cancel your trip with Kilimanjaro Winners and Safaris, written notice must be provided. Cancellation fees apply as follows:

60–45 days 25% of total cost
44–29 days 60% of total cost
28–7 days 90% of total cost
Less than 7 days 100% of total cost

Cancellations are effective on the date Kilimanjaro Winners and Safaris receives your written notice.

COVID-19 Notice: Tanzania no longer requires a negative PCR test for vaccinated travelers. No special flexibility is provided for COVID-related cancellations under these terms.

4. Operator-Initiated Cancellations

In rare cases, Kilimanjaro Winners and Safaris may cancel a tour. This will not happen less than 60 days before departure unless caused by circumstances beyond our control (see Force Majeure).

If cancellation occurs (excluding late payment or force majeure), you will be offered one of the following:

An alternative trip of similar value (with any cost adjustments applied).

A full refund of any payments made.

Please note: Kilimanjaro Winners and Safaris is not responsible for personal expenses or losses (e.g., flights, visas, insurance costs).

5. Force Majeure

Kilimanjaro Winners and Safaris accepts no liability for events beyond our reasonable control which could not have been anticipated or avoided, including but not limited to:

War, civil unrest, or terrorism

Government restrictions or border closures

Natural disasters (earthquakes, floods, etc.)

Epidemics or pandemics

Labor strikes or industrial action

Road or transport disruptions

Extreme weather conditions

In such cases, no compensation or refund is due.

6. Travel Insurance

Travel insurance is mandatory for all bookings with Kilimanjaro Winners and Safaris.

Your policy must include, at minimum:

Emergency medical coverage

Medical evacuation

Repatriation

Strongly recommended additional coverage:

Trip cancellation or interruption

Lost luggage or equipment

Personal liability

Ensure your insurer is aware of the activities you will be undertaking, including trekking and wildlife safaris.

7. Health & Medical Conditions

All travelers must disclose any pre-existing medical conditions when booking with Kilimanjaro Winners and Safaris.

It is your responsibility to ensure you are physically fit to complete the trip.

Please consult your doctor regarding:

Required vaccinations

Physical fitness levels

Any altitude or climate-related risks

Many trips involve remote or undeveloped regions where medical facilities may be limited. Kilimanjaro Winners and Safaris cannot be held responsible for the availability or quality of medical services.

8. Special Requests

Kilimanjaro Winners and Safaris will make every effort to accommodate dietary requirements, room preferences, or other special requests.

However, these are not guaranteed and do not form part of your booking contract.

No liability is assumed if a request cannot be fulfilled.

9. Pricing, Surcharges & Taxes

Prices with Kilimanjaro Winners and Safaris may change due to external factors such as:

Increases in accommodation or transport costs

Park fee or government tax increases

Currency fluctuations

Supplier changes

If a significant price increase occurs, you may choose to:

Cancel the trip without penalty, or

Accept the new pricing and proceed.

You must notify Kilimanjaro Winners and Safaris of your decision within 14 days of receiving notice. Failure to respond will be treated as acceptance.

Final Note

By confirming your booking with Kilimanjaro Winners and Safaris, you accept these Terms & Conditions on behalf of yourself and all travelers in your group. It is your responsibility to ensure all members are informed of the terms outlined above.

These Terms & Conditions are designed to protect the rights of both you and Kilimanjaro Winners and Safaris, ensuring a safe, fair, and enjoyable travel experience for all.
