Booking Terms & Conditions Axis Africa Safaris LTD
Please read the following Terms & Conditions carefully before confirming your booking. By making a reservation with us, you acknowledge and agree to the terms outlined below.
1. How to Book
To reserve your safari, complete the online booking form on our website, indicating the relevant safari, preferred travel dates, and selected itinerary. Or through whatsapp.
Upon receiving your request, we will confirm availability and provide a detailed quotation. Once you confirm acceptance of the quotation, we will secure your reservation and issue a confirmed invoice outlining the services booked.
2. Prices & Currency
All prices are quoted in United States Dollars (USD).
Payment may be made in any freely convertible currency at the prevailing exchange rate at the time of payment.
Rates are subject to change due to government taxes, park fee adjustments, fuel surcharges, or supplier tariff changes beyond our control.
3. Deposit & Payment Terms
A 30% deposit is required at the time of booking.
The remaining balance must be paid in full before the commencement of your safari.
For bookings made 20 days or less prior to departure, full payment is required at confirmation.
Payments are accepted via bank wire transfer.
Axis Africa Safaris LTD reserves the right to cancel any booking if payment terms are not fulfilled within the required timeframe.
4. What Is Included in the Tour Price
Transportation as specified in your itinerary.
Accommodation as follows:
Full board in safari lodges and camps.
Half board in beach hotels.
Bed & breakfast in city hotels.
5. What Is Not Included
Visa fees.
Local departure taxes.
Excess baggage charges.
Tips and gratuities.
Personal expenses (e.g., drinks, laundry, telephone calls).
Travel insurance (strongly recommended).
6. Responsibility & Liability
Travel involves inherent risks. Axis Africa Safaris LTD acts solely as an agent in arranging accommodation, transportation, sightseeing, and related services provided by independent suppliers. We do not directly control these third-party services.
We reserve the right to:
Substitute accommodations with others of comparable standard.
Modify itineraries due to weather, road conditions, airline schedule changes, safety considerations, or other operational requirements.
While every precaution is taken to ensure your safety and comfort, Axis Africa Safaris LTD shall not be liable for injury, death, loss, delay, damage, or itinerary changes resulting from:
Force majeure events (including natural disasters, civil unrest, quarantine, or government actions).
Acts of terrorism.
Airline delays or schedule changes.
Errors or omissions by third-party suppliers.
All baggage is carried at the traveler’s own risk. We recommend comprehensive travel and baggage insurance.
7. Passports & Visas
Travelers must hold valid passports and obtain all required visas for their destinations. It is the client’s responsibility to ensure all travel documents meet entry requirements prior to departure.
8. Tour Alterations
Axis Africa Safaris LTD reserves the right to alter or cancel any tour arrangement if circumstances require.
We also reserve the right to decline or remove any traveler whose condition or conduct may pose a risk to themselves or others, or negatively impact the group experience. Any costs arising from such action shall be the responsibility of the traveler.
9. Cancellation Policy
All cancellations must be submitted in writing (via email or official correspondence). Verbal cancellations will not be accepted. The effective date of cancellation is the date on which written notice is received by Axis Africa Safaris LTD.
Refunds, where applicable, are calculated as follows:
60 days or more prior to safari start: Full refund of the amount paid less USD 60 administration fee.
40–59 days prior to safari start: 75% of the total amount paid refunded.
14–39 days prior to safari start: 45% of the total amount paid refunded.
7–13 days prior to safari start: 25% of the total amount paid refunded.
Less than 7 days prior to safari start or no-show: No refund will be issued.
All refunds are subject to deduction of any non-recoverable costs already paid to third-party suppliers.
Where applicable, refunds will be processed within 14–30 working days and issued via the original method of payment unless otherwise agreed in writing.
10. Important Disclaimer – Supplier Policies
Certain camps, lodges, resorts, hotels, airlines, or other service providers included in your itinerary may have their own cancellation terms.
Where a supplier’s policy is more restrictive than the above general cancellation policy, the supplier’s terms will prevail and determine the final refundable amount.
Clients will be informed at the time of booking or confirmation of any non-refundable deposits or restrictive supplier conditions.
11. Refunds & Claims
Refunds are not provided for unused services except in verifiable extenuating circumstances.
Any claim must:
Be submitted in writing within 20 days after completion of the tour.
Include supporting documentation or verification.
Approved adjustments will be based on the actual cost of the affected services and not calculated on a per Diem basis. Claims received after 20 days from the end of the travel program will not be considered.
12. Traveler Representation
By booking with Axis Africa Safaris LTD, the traveler confirms that neither you nor anyone in your party has any condition that may create a hazard to themselves or others during the safari.
We reserve the right to refuse or remove any traveler whose condition or conduct may affect safety or the enjoyment of other guests. Any resulting expenses will be the traveler’s responsibility.
13. Air Transportation
We will arrange only domestic flights. All air services are subject to the terms and conditions of the respective airline.
