BERENGEI AFRICA TOURS – TERMS & CONDITIONS
1. Introduction
These Terms & Conditions govern all bookings made with Berengei Africa Tours ("we," "us," “the Company”). By confirming a safari or travel service with us, you (“the client," "traveler," or “guest”) agree to be bound by these Terms & Conditions.
2. Booking & Payment
2.1 Booking Confirmation
A booking is confirmed once:
You approve the safari itinerary and price.
You pay the required deposit.
We issue a written confirmation or invoice.
2.2 Deposit
A 40% deposit is required to secure your safari.
For gorillas, chimpanzees, or other special permits, full permit fees must be paid upfront and are 100% nonrefundable (industry standard).
2.3 Final Payment
The remaining balance must be paid on the day of arrival.
Bookings made within 60 days of travel require 50% payment at the time of booking.
3. Prices & Inclusions
3.1 Prices Include
Accommodation as per itinerary
Park entry fees
Activities listed in the itinerary
Ground transportation in a 4x4 safari vehicle
Professional English‑speaking guide
Bottled drinking water in the vehicle
3.2 Prices Exclude
International flights
Visa fees
Travel insurance
Tips & personal expenses
Optional activities not listed in the itinerary
3.3 Price Adjustments
We reserve the right to adjust prices due to:
Government tax changes
Park fee increases
Fuel price fluctuations
Currency exchange changes
4. Cancellations & Refunds
4.1 Cancellation by the Client
61+ days before arrival: Loss of deposit only
60–31 days before arrival: 50% of total safari cost
30–0 days before arrival: 100% of total safari cost
Permit fees (gorilla/chimp): Always non‑refundable
4.2 Cancellation by the Company
We may cancel a trip due to:
Force majeure (natural disasters, political unrest, epidemics)
Failure to meet minimum payment requirements
If we cancel, you will receive:
A full refund excluding non‑refundable permits and third‑party fees
Or the option to reschedule
5. Amendments to Bookings
Changes requested by the client may incur additional costs.
Changes within 30 days of travel are not guaranteed.
Permit dates cannot be changed once issued.
6. Travel Documents & Health Requirements
6.1 Client Responsibility
You are responsible for:
Valid passport (minimum 6 months' validity)
Required visas
Vaccinations (e.g., Yellow Fever)
Personal travel insurance
We typically provide general guidance, but the traveler must verify requirements with authorities.
7. Insurance
All travelers must have:
Medical insurance
Emergency evacuation coverage
Trip cancellation insurance (recommended)
We are not liable for losses due to lack of insurance.
8. Safari Conduct & Safety
Follow guide instructions at all times.
Wildlife sightings are not guaranteed.
We are not responsible for loss or damage to personal belongings.
If a traveler behaves in a way that endangers others or disrupts the safari, we reserve the right to terminate participation without refund.
9. Liability & Force Majeure
We are not liable for:
Delays, cancellations, or losses caused by airlines, weather, political events, or natural disasters
Injuries, illness, or death resulting from wildlife encounters, accidents, or negligence by third parties
Force majeure events include the following:
War, strikes, riots
Extreme weather
Government actions
Epidemics/pandemics
In such cases, refunds are limited to recoverable amounts from suppliers.
10. Complaints
If you have a complaint:
Report it immediately to your guide or our office.
If unresolved, submit a written complaint within 14 days after your safari.
11. Use of Photos & Media
Unless you request otherwise in writing, Berengei Africa Tours may use safari photos or videos taken by our team for marketing purposes.
12. Governing Law
These Terms & Conditions are governed by the laws of Uganda.
Any disputes shall be resolved in Ugandan courts.
